End of the project products - Case Study Report and Digital Story Video

This project will be officially finished by the end of July. The case study report has been submitted to JISC wiki workspace and the digital story video is being produced and will be ready  online next week.

We will provide the links to the report and video shortly.

Although the project will draw to an end shortly, the JISC project team will continue to work on the improvement of SES and disseminate the project findings to the HEI and Big Data research and practice communities. The team members will be presenting and discussing their experience and findings in two international conferences.

Video production interview

We had two video interviews today with the university's Corporate Information Systems Director and Deputy Director of LR and Student Experience. Our faculty's Marketing Officer will be working on the video production once all interviews are completed. Three more interviews are scheduled.

Dr. Mark Childs, our cluster manager, visited us today to discuss the end of the project report and video production.
We also provided our feedback to JISC regarding our experience working on the transformation programme.

JISC SIMSE Project Meeting

The JISC SIMSE project meeting took place on 22 May 2013, mainly focused on summarising the project progress and deciding the next course of action.


Project Progress
  • The finding of the project was presented to a group of 20 academic staff and PhD students at a research seminar;
  • The project team conducted a student focus group interview with 14 MSc students to understand their views about the project. Topics covered included: the benefit and challenges of using SES for the university and for students, trust of the university using the data collected, personal concerns, data transparency, SES and its impact on student behaviour;
  • Two conference papers based on the project have been accepted and will be presented at two international conferences; and  
  • JISC strategic toolkit has been used by Head of Corporate Information Systems to evaluate university Strategic ICT maturity.
Next Course of Action

  • The case study of the project will be drafted by 19th of June 2013; 
  • The video transcript for the digital story of the project will be organised; 
  • The steering group members of the project will be updated regarding the progress of the project; 
  • Another student focus group will be conducted to further understand students’ views on SES applications; and 
  • A questionnaire survey will be develop to investigate the impact of SES on student behaviour.

Student Focus Group on 16 May 2013

A focus group was conducted with 14 postgraduate students studying at the business school. The purpose of  the focus group was to collect students views on the use of the student engagement system in the univeristy. The discussion was focused on the benefits, challenges, and effective use of SES. Most participants showed very positive attitudes towards using SES as they believe that it shows that the university cares about their students and tries to help the students at risk.  They also made valuable feedback on the value of SES data and the possibility of sharing it with external stakeholders, such as: employers  They wonder if the engagement profile can be used as a references to support their job application.

Project meeting on 12 March 2013

The project team met on 12 March 2013 to share information and update progress. Marcus updated the university wide new development in information systems. The project is approaching its final stage. The following activities are discussed and planned:

  • SES user survey result analysis, 
  • university's current and future strategic ICT maturity analysis using JISC Strategic ICT Toolkit,  
  • update of the project benefit matrix
  • conference paper.

Yanqing and Marcus will be attending the Green cluster online meeting on 4th April 2013.

User Survey

A survey to all registered users of the Student Engagement System was sent out today, 12th March 20013.  The intention is to evaluate  additional system features funded by JISC and to evaluate, what if any, improvements they have made to users of the system.

End of Project

An end of project report concerning the  Student Engagement System was submitted to the Acting Registrar in January and was accepted.  Therefore this phase of the system development is complete and the system is considered to be in a business as usual phase.  The University's ICT team are responsible for future system development, system and hardware support and the day today use of the system is now managed by Anna Swales, Senior Engagement Adviser.

Meeting with University's Director of Corporate Information Systems (CIS) on 30 January 2013.

Project Team members had a meeting with the University's Director of Corporate Information Systems (CIS). The aim of the project was to introduce our JISC Transformation project and share information about the university wide ICT development. We also introduced the JISC's Strategic ICT Toolkit and its applications in benchmarking UoB's strategic ICT. We discussed the operational and strategic use of SES and the areas to be covered in the forthcoming SES user survey.


JISC SIMSE Project Meeting


 On 15 January, the JISC SIMSE project had its first meeting after the New Year. The project team reviewed the progress and shared information on the university wide ICT development. 

  • The university’s ICT strategy has been made available to senior managers. A number of important changes will be undertaken to improve the university’ information systems. It is expected that SES will be enhanced if the new strategy is implemented. 
  • University has a designated manager to look at the current timetabling system. A strategic timetable review report and recommendations are made available to senior managers. 
  • The interim update of the evaluation matrix on project benefits and impact was discussed and approved.  
  • The SES user survey draft was discussed. It was agreed that the questionnaire can be sent to all registered SES users online as soon as it is ready.
